    How to find customers when ads get more expensive: 7 methods for a small business

    To find customers when advertising keeps getting more expensive, start with people who already know you: win back past customers, answer leads within minutes, stop losing messages from messengers and OLX, ask for reviews, send ads straight to WhatsApp, broadcast to your own customer base and agree on mutual referrals with neighbouring businesses.

    Below are seven methods that work for a beauty salon, a car service, a shop, a freight company or an accounting firm. You can start each of them this week, without an agency and without a big budget.

    A familiar picture: a click on an ad costs more than a year ago, there are as many leads as before or fewer, and revenue is flat. The owner decides the business needs new customers and raises the budget. But money often leaks not at the entrance but inside: a lead was seen three hours later, a customer who came six months ago never got a reminder, and OLX messages are read by one manager on his own phone.

    Why is it harder to find customers even when ads work?

    Because ads bring people, but your processes are what sell to them. If a lead waits without a reply or gets lost, you pay for the customer twice: first for the click, then for losing them to someone else.

    A small business usually loses customers in three places. First, slow replies, especially in the evening and at weekends. Second, scattered channels: WhatsApp on one phone, Instagram on another, OLX in the administrator's browser. Third, a forgotten customer base, when nobody contacts a buyer ever again. Closing these gaps is usually cheaper than buying new traffic.

    Where should a small business start looking for customers?

    Start with the cheapest methods: your own customer base and reply speed. Add new channels once you stop losing the people who already write to you.

    How do you win back past customers and increase repeat sales?

    Write to people who have already bought from you: remind them about yourself, offer a repeat service or something new. Selling to someone who trusted you once is easier than selling to a stranger from an ad.

    Build your base from everything you have: WhatsApp chats, a notebook, an Excel sheet, a till export. Group customers by a reason to write: who is due for another haircut, whose car needs scheduled maintenance, who bought an item that needs consumables. The reason matters more than the discount: "six months have passed, time to change the oil" sounds like care, not spam.

    Regular reminders that go out on their own work best. In WazzaBee CRM, appointments have "Before the visit" and "After the visit" robots: for example, a message 28 days after a visit inviting the customer to book again. We showed how this looks in a salon in our article about a CRM for a beauty salon.

    Why does reply speed decide whether a customer buys?

    A customer who writes in a messenger usually writes to several companies at once. They more often buy from whoever answers first and to the point, not from whoever is a hundred tenge cheaper.

    What you can do without hiring new people:

    • turn on an auto-reply for the first message and outside working hours, so the customer knows they have been seen;
    • set up keyword replies: "price" instantly sends a link to your prices, "hours" sends your opening times;
    • add a menu with buttons that answers common questions and collects the request while a manager is busy;
    • give several employees access to one business number, so whoever is free takes the lead, not whoever holds the phone.

    WazzaBee has all of this: auto-replies, keyword replies and menu bots are set up in the dashboard. How to build a menu is explained in the article "A chatbot for WhatsApp". The Reports section shows the average reply time and the conversations nobody answered.

    How do you stop losing leads from WhatsApp, Instagram and OLX?

    Bring all channels into one window that the whole team can see. When every messenger lives on a separate phone, some leads inevitably go unanswered.

    In WazzaBee, WhatsApp, Instagram Direct, Telegram, Facebook and OLX connect to one dashboard. Messages land in a shared chat list, managers reply under their own logins, and the conversations stay with the company even if an employee leaves. If you work in Bitrix24 or amoCRM, the requests go there too, as deals.

    A word about OLX: buyers from listings often write in the evening, and their messages are easy to miss in the marketplace's own account. How to bring them into a shared window and a CRM is described in our article about OLX and CRM integration.

    How do you get customers through word of mouth and reviews?

    Ask for a review right after a purchase or visit, while the customer is happy, and give a direct link where to leave it. Without a request, most satisfied customers never write one.

    It is easiest to ask in the same messenger where you talked: a short message like "Thank you for coming! If you liked everything, please leave a few words at this link" plus a link to your 2GIS or Google listing. In WazzaBee CRM such a message can go out automatically, with the "After the visit" robot, after the time you choose.

    Small things also boost word of mouth: a business card with a QR code to your WhatsApp, a "message us" link in your Instagram bio, a bonus for a customer who brings a friend. A wa.me link with your number and a QR code for it take a couple of minutes to make and work for years.

    How do you make ads bring customers, not just clicks?

    Send ads straight into a conversation: an ad with a "Send WhatsApp message" button skips the website and the form, so a person writes to you in one tap. And to let the ads learn from buyers, tell Meta which of the people who wrote actually bought.

    When a customer comes from such an ad to an official WhatsApp line, WazzaBee saves which ad they came from. The Advertising section shows how many conversations each ad brought and how many of them got a reply. If you mark sales, WazzaBee passes them to Meta through the Conversions API, and the ads start reaching people similar to your buyers. More on the page about sending sales to Meta.

    How do you broadcast to your own base without getting banned?

    Send broadcasts through official WhatsApp (WhatsApp Business API) with an approved template, and only to people who gave you their number. Mass messages from the regular app often end with the number being banned.

    In official WhatsApp, Meta approves the template text in advance, and each marketing message costs $0.086. In the WazzaBee dashboard a broadcast is launched in the Broadcasts section: you upload your base from Excel, choose a template and the sending time. Add an "Unsubscribe" button to the template: whoever taps it will not get your broadcasts again, and there will be fewer complaints. Everything is explained step by step in the guide to broadcasting to your own base.

    Good reasons for a broadcast: new stock, free slots this week, a reminder about a seasonal service, a private sale for regular customers. A bad reason: "we have a promotion" with no details every other day.

    How do you find customers through partnerships?

    Look for businesses that share your customers but sell a different product, and agree to recommend each other. It is a free flow of warm customers who arrive already trusting you.

    Example pairs: a beauty salon and a fitness studio, a car service and a car wash or tyre shop, a freight company and a furniture store, an accounting firm and a lawyer or a company registration agency. Agree on something simple: business cards or a QR code at the till, a mention in a broadcast, a small bonus for a customer referred by the partner. To see how many customers a partner brought, record the source in the customer card or tag the chat.

    How do you find customers for a salon, car service, freight or accounting firm?

    The principle is the same everywhere: your base, speed, reviews, repeat sales. Only the reasons to write and the places where people look for you change.

    BusinessWhere customers lookReason to write again
    Beauty salon, massageInstagram, 2GIS, referralsTime for a repeat treatment, free slots
    Car service2GIS, maps, OLX, referralsScheduled maintenance, seasonal tyre change
    FreightOLX, listings, partnersA new move for a business client, the season
    Accounting servicesReferrals, partners, websiteReporting deadlines, tax changes
    ShopInstagram, OLX, shop windowNew stock, consumables for an earlier purchase

    For car services we covered booking, repair estimates and customer messages separately in the article about a CRM for a car service.

    How do you raise sales in a shop without spending more on ads?

    You can close the main gaps in one week. The order is:

    1. Put all customers with phone numbers into one table.
    2. Connect every channel where people write to you to one window and give your team access.
    3. Turn on an out-of-hours auto-reply and replies to common questions.
    4. Ask your last 20–30 buyers for a review.
    5. Send past customers a message with a specific reason.
    6. Agree on mutual referrals with at least one neighbouring business.
    7. After two weeks, check reply time and missed conversations in the reports.

    Official WhatsApp in WazzaBee is connected in 15 minutes, a line costs $68 per month, and a new line works for 7 days on trial. That is enough to test the first four steps on real customers.
