Official WhatsApp (WABA, WhatsApp Business API) connects your number straight to Meta's platform: no "donor" phone, no risk of losing the account over a broadcast. Below is a hands-on guide: what to prepare, how to get connected in 15 minutes, what it costs in tenge, and what most often derails the process.

Official WhatsApp in 90 seconds: your company name in the profile, a team on one number, broadcasts under Meta rules and Coexistence.

One morning the number goes dead, and it isn't a glitch

The story repeats month after month. A shop messages its own customer base: "Hi, we've got a sale on." An hour later some recipients tap "Block", others tap "Report". By evening the number is banned. The very number printed on the storefront sign, listed in 2GIS, stamped on the packaging and running in the ads.

Then comes the painful part. Customers keep writing to a dead number and get no reply. Agents can't see the conversations. The order history lives on a phone sitting in a desk drawer. An appeal to WhatsApp support is a web form that may never get an answer, and if it does, the wording is usually "this decision is final".

The cause is almost always the same: the business ran on regular WhatsApp or on a QR-code connection, yet behaved like a company: messaging first, sending hundreds of messages, pushing promos. To Meta that reads as spam, and the algorithm doesn't care whether you're a good merchant or a bad one. We've broken down the reasons separately: why business numbers get banned on WhatsApp.

The official channel doesn't make you invulnerable; it makes you legitimate. You message first by Meta's rules, you pay the published rate for it, and you stop depending on the mood of an anti-spam algorithm.

What official WhatsApp (WABA) actually is

WABA (WhatsApp Business Account) is your business account on Meta's side. The number lives in the cloud rather than in an app on a phone: messages come and go through the official API, and you handle them in a web interface or inside your CRM. You no longer need a handset to work; you need one exactly once, to receive the confirmation code.

Here's how that differs from the familiar options:

Regular WhatsApp / QROfficial WhatsApp (WABA)
Who owns the channelThe app on a phoneYour account in Meta
BroadcastsAgainst the rules, ban riskAllowed via approved templates
Messaging a customer firstAt your own riskA built-in feature (HSM template)
Daily limitsUnofficial, around 40 messages250 unique recipients at the start, growing to unlimited
Company profileBasicLogo, description, website, address, category
Multiple agentsThrough linked devicesAs many agents as you like in one window
Paying for messagesNoMeta's rates, charged per conversation

If you'd rather start with the theory (how the API differs from the app and why Meta drew that line in the first place), read our overview of official WhatsApp for business and the documentation article on how WhatsApp Business API differs from regular WhatsApp. From here on it's pure practice.

What to prepare beforehand: a four-point checklist

Connecting takes 15 minutes if everything is ready in advance. Check four things.

    • A Facebook account. Personal, active, with access to its email and two-factor authentication. You'll use it to sign in to Meta Business and confirm your rights to the business account.

    • A Meta Business account. Don't have one? You'll create it along the way; nothing to prepare separately. Write the name exactly as the company appears in its registration papers: that pays off at verification.

    • A phone number. Any number that can receive an SMS or a voice call: mobile, landline, virtual. The one rule: it must not be tied to regular WhatsApp. If the number is already in the app, either free it up (Settings → Account → Delete account, then wait a few minutes) or connect it in Coexistence mode. More on that below.

    • A channel name and a clear answer to "who replies". One number is one channel. You can add as many staff to it as you need, each with their own login and their own conversations.

Business verification, the one with documents, isn't required at the start: the number works right away. Until it's done, though, you can message no more than 250 new recipients a day. Verification raises that ceiling and unlocks the application for the blue checkmark.

How to connect official WhatsApp: five steps in 15 minutes

Step 1. Sign up and pick the channel type

Create an account in the dashboard and open Channels → Add channel → WhatsApp → WABA (Official API). Give the channel a name so you can tell it apart later if you add more numbers (say, "Sales" and "Support"). Click "Sign in with Facebook".

    Step 2. Authorize in Facebook

A Meta window opens. There you sign in, pick an existing business account or create a new one, and grant the permissions. One thing matters: don't close the dashboard tab; you'll need to come back to it after Facebook. If it did close, the interface has a "Reopen the sign-up window" button.

    Step 3. Confirm the number

Meta asks for the number that will run official WhatsApp and sends a code by SMS or by call. Enter it in the Meta window. If the code doesn't arrive, pick the "Call me" option: with Kazakhstani carriers that often works faster than SMS.

Step 4. Select the number in the dashboard

Back in the dashboard you'll see "Authorization successful" and the list of numbers linked to your business account. Click the one you need, and the channel gets saved.

Step 5. Test it with a first message

The channel appears in the list with its connection status. Write to the work number from your personal phone; the message should land in your chats. Reply from the interface and make sure the customer receives it. That's it, the channel is live.

What's left is the part it was all for: message templates, auto-replies, adding agents and the CRM integration. A step-by-step version of this guide with interface screenshots lives in the documentation: connecting WhatsApp WABA.

If the number is already running in the WhatsApp Business app

The single most common reason businesses put the move off for years: "We've got five years of conversations on that number, we're not deleting it." Fair enough: nobody wants to lose their history and the handset the team is used to.

For exactly this case Meta offers Coexistence: the number lives in the WhatsApp Business app on the phone and in the official cloud at the same time. No need to delete the app, the number stays the same, and the last few months of conversations are pulled into the interface. The agent on the shop floor keeps replying from the phone while the manager sees the same conversations in the CRM.

How it works and what Meta requires is covered in a separate deep dive: WhatsApp CoExistence: going official without losing your number or history and in the documentation: connecting WhatsApp Coexistence.

What official WhatsApp costs in Kazakhstan

The bill has two parts, and it's worth knowing that upfront so nothing comes as a surprise.

    1. The monthly fee for the channel

The ENTERPRISE plan for official WhatsApp costs $68 a month (or $65 / €59 when paying from other countries). Conversations are unlimited. The plan includes mass broadcasts, the ability to message customers first, quick-reply templates, AI transcription of voice messages and a free chat widget for your website.

    • A 7-day trial on any plan: connect, test, decide.

    • Volume discounts: −10% when paying for 6 months, −20% when paying for a year.

    • A $1.11 welcome bonus is credited automatically to the balance of your first WABA channel after sign-up; you can send your first messages without topping up.

    2. Message charges at Meta's rates

Meta doesn't charge per message, it charges by conversation type. Current rates for Kazakhstani numbers:

    Message typePriceWhen it's billed
    Marketing$0.086Sales, promos, broadcasts, always
Utility$0.0286Order status, reminder, receipt, outside the 24-hour window
Authentication code$0.0286One-time passwords, outside the 24-hour window
Reply inside the 24-hour window$0.0286While the customer is in the conversation
Incoming from a customer$0.0021Every message the customer sends

The logic is simple: the moment a customer writes to you, a 24-hour service window opens, and messaging inside it costs pennies. Once the window closes, you can only reach out with an approved template, at the full rate for its category. So it pays to close the question while the customer is still there, instead of chasing them with a broadcast a week later.

A channel's balance may go as low as −$0.44: that's the credit limit. Below that line outgoing messages stop: broadcasts stall, templates don't go out. Incoming messages keep arriving, the channel isn't switched off, and a top-up resumes sending immediately. Details are in the documentation: WABA message pricing and the credit limit. A full calculation with sample budgets is in the article how much WhatsApp Business API costs in Kazakhstan.

On 1 October 2026 Meta changes the rules: Kazakhstan becomes a separate market with its own rates, and messaging inside the 24-hour window stops being free. What exactly changes and how to prepare is covered in the article WhatsApp utility messages are becoming paid.

What you get the moment you're connected

    • Broadcasts to your own base with no risk to the number. You upload the audience as an Excel or CSV file, the text goes through Meta's template review, and the send runs on the official channel. Here's how it works: creating and launching a broadcast.

    • The right to message first. A customer left a request a week ago; you send a template and revive the conversation instead of waiting for them to write.

    • Every conversation in one window. Agents work from their own computers and phones, and the manager sees who replied and who didn't. Chats don't walk out the door when an employee quits: the number and the history belong to the company.

    • CRM integration. Conversations land directly in Bitrix24 or amoCRM, create leads and attach to deals. There's also an open REST API if you need to wire it into your own system.

    • A company profile. Logo, description, category, website, address and email: the customer sees an organization, not an unknown number.

    • A username instead of a number. Customers can find you by a handle. Details in the article on the WhatsApp username.

Six reasons a connection falls apart

    1. The number is taken by regular WhatsApp. Meta won't let you connect it to the API until the account is deleted from the app. Either free the number up or go the Coexistence route.

    2. You picked a number that has been banned before. A number with a bad track record can pick up restrictions on the official channel too. If the account was blocked, connecting a clean number is safer. What to do when WhatsApp says "account under review" is covered here.

    3. You chose Meta's test number. During sign-up Meta sometimes offers its own test number starting with +1 555… It's free and useless: real customers will never write to it. Always pick the option that adds your own number.

    4. You closed the Facebook tab too early. Sign-up breaks off halfway and the number is left unlinked. The fix is to reopen the sign-up window.

    5. The business name doesn't match the paperwork. It won't stop you at the start, but at verification Meta checks the name against your registration documents and rejects the application if they differ.

    6. The template reads like an ad. A utility template with "today only, big discount" in it gets reclassified as marketing by the reviewers, and sending becomes several times more expensive. Keep utility messages strictly to the point.

Your first week on an official number: how to grow the limits

A new business account starts with a limit of 250 unique recipients per day: that's how many people you can message first in 24 hours. Replies inside the 24-hour window and incoming messages don't count toward it.

The next tier is 2000 recipients. There are two ways up: pass business verification in Meta (the fast route), or deliver 2000 template messages to unique recipients within 30 days while keeping a good quality rating. After that Meta raises the tier automatically: 10 000, 100 000 and unlimited, as long as quality stays green and you've used at least half of your current limit in the past 7 days.

What helps you clear this stage without a quality drop:

    • In the first days, message only people expecting to hear from you: customers with open orders and recent enquiries.

    • Don't blast the whole base at once; start with a small group and watch the reaction.

    • Clean dead numbers out of your base: a message delivered into the void still costs you money.

    • Put a clear way to opt out in every template; that cuts complaints better than any persuasion.

How tiers and number quality work is covered in the documentation: messaging limits, tier and number quality.

    What to read next

    Where to start today

Take the number your customers already write to and run it through the checklist: is there access to Facebook, is the number free, who will be answering. Then sign up, use the three-day trial and send your first message from the official channel. If the broadcast goes out without a single nerve frayed and the number keeps working, you did it right.
