A template is needed because a reminder goes out when the patient has not written for a while. In WhatsApp Business API a regular message is delivered only while the 24-hour window after the customer's message is open. Every text ends with words, not with a variable. This is a technical Meta rule: a template with a variable at the very start or the very end is rejected right away.
Quick reply buttons save money. The patient taps "I'll come", and for WhatsApp that is a full reply: the 24-hour window opens and the receptionist can write regular messages for a whole day. A template can hold up to 10 quick reply buttons.
What should never be in templates: diagnoses, X-ray results and treatment details. Only the organizational part goes into a message: date, time, dentist, address, what to bring. Everything about the patient's health stays in the dentist's office.
How do you set up a greeting and an after-hours auto-reply?
The "Auto-replies" section has two rules: "First message" greets a new patient, and "Outside business hours" answers people who write outside clinic hours. Each rule is turned on separately.
Greeting example: "Hello! Thank you for writing to our dental clinic. The receptionist has seen your message and will reply shortly." Night reply example: "Hello! The clinic is closed now, we work from 9:00 to 20:00. Write a convenient day and time, and the receptionist will confirm your booking in the morning."
- If a patient writes for the first time and at night, they get one auto-reply, the after-hours one.
- The schedule follows the time zone in "Settings → Notifications". Check that your city is selected there.
- You can set hours that cross midnight, for example from 20:00 to 08:00.
- The pause between auto-replies is 6 hours by default, so a patient does not get a reply to every message in a row.
- An auto-reply is visible in the chat with an "auto-reply" label and is charged like a receptionist's reply.

How does a menu bot help a dental front desk?
A menu bot replies to the patient with a menu of options, for example "Prices", "Address and hours", "Book", "Call the receptionist". The patient finds the answer to a common question alone, and the receptionist joins when really needed. A menu bot needs no template and no Meta approval.
- When it starts: on a keyword such as "Menu", on a new patient's first message, or manually from the chat with the "Send menu" button.
- What it replies with: text, the next menu, a PDF price list or photo up to 15 MB, a location request.
- What it does: hands the conversation to an agent with the "Waiting for manager" label, adds a chat tag, creates or moves a deal in the CRM.
- WhatsApp limit: the bot only replies to a patient's message within 24 hours. A menu cannot be sent first or in a broadcast; templates with buttons exist for that.

Why shouldn't patients be handled from a receptionist's personal number?
Because the patient base leaves together with the employee or their phone. In the official channel, conversations and contacts are stored in the clinic's dashboard, and employee access is granted and revoked.

- The manager sees conversations and response times instead of learning about a problem from a review.

Where do you get online booking and automatic reminders?
