A customer asked on WhatsApp how much a brake pad replacement costs. The mechanic replied two hours later and quoted a price verbally, without splitting it into labour and parts. The customer went to another shop that sent an estimate right away. Bookings are kept in a notebook, the mechanic's phone never stops ringing, and when the car is ready, someone forgets to call the customer.
A CRM for a car service brings leads, bookings, estimates and customer conversations together in one window and handles the routine on its own: it reminds customers about bookings, sends the estimate, lets them know the car is ready and invites them back for the next service. Below we look at how it works in WazzaBee CRM and how much it costs.
Why does a car service need a CRM?
A car service needs a CRM so that no lead gets lost, the estimate reaches the customer within minutes and customers come back for maintenance. Without one, a shop loses money at three points: it takes too long to answer a price question, forgets to say the car is ready and never invites the customer back for the next service.
| Notebook and the mechanic's phone | WazzaBee CRM | |
|---|---|---|
| Leads from messengers | On the mechanic's phone | A message on WhatsApp or Instagram creates a customer and a deal automatically |
| Estimate | Verbally or on a scrap of paper | A PDF with labour and parts, sent on WhatsApp |
| Bookings | A notebook, double bookings | A calendar by mechanic and online booking via a link |
| Car is ready | Someone calls, if they remember | The CRM messages the customer on WhatsApp on its own |
| Next service | Nobody remembers | A robot invites the customer back after six months |
How do leads get into the CRM?
Messenger lines are connected in the WazzaBee dashboard, and in the CRM you turn on "Send to CRM" for the lines you need. Every new customer message creates a customer and a deal at the "New lead" stage, and the conversation is visible right in the card. Calls land in the card too, along with call recordings.
A car service has its own pipeline: "New lead → Contacted → Estimate → In progress → Ready → Paid". The customer card already has "Make and model", "License plate" and "Mileage" fields. Official WhatsApp connects in 15 minutes; we explain how it differs from the regular app in our article "WhatsApp Business or WhatsApp Business API".
How do you send a customer a repair estimate?
The deal card has an "Estimate" tab. Click "New estimate", and the customer and the car are filled in automatically, for example "Daniyar, Toyota Camry, 123 ABC 02". Jobs are found by searching the catalog, and each line has two prices: labour and parts. At the bottom is a breakdown of the total: labour, parts and "Estimate total".
- One click to the customer. "Send to customer" drops a PDF "Repair estimate No. N" into the chat, and the customer receives it on WhatsApp. The document includes the car service, the customer, the car, the date, jobs grouped by section and the total.
- Amount to the deal. The "Set as deal amount" button moves the estimate total into the deal, and revenue in the reports is calculated automatically.
- A custom price for the customer. You can change a price in this estimate only, the catalog stays the same. You can also add your own job manually.
- Works catalog. "Settings → Works catalog" already comes with a sample set: diagnostics, maintenance, suspension, brakes, tyre fitting, electrics. Your own price list is uploaded from Excel using a template.
Details are in the documentation: "Treatment plans and estimates", in the car service section.
How does booking at a car service work?
In the "Bookings" section, each service advisor has their own column in the calendar. Until you add your own services, the niche's preset list is used: diagnostics, oil change, suspension repair, tyre fitting, car wash, inspection. A booking can be moved by dragging it or with the "Reschedule" button, and statuses show who turned up and who did not.
Your shop can have its own online booking page: the customer picks a service and a time, and the booking appears in the CRM calendar right away. A day before the visit, the CRM reminds the customer about the booking on WhatsApp on its own. If you reschedule, the reminder arrives for the new time.
Which robots work in a car service?
| Robot | What it does |
|---|---|
| A day before the booking | Reminds the customer about the visit on WhatsApp |
| "Contacted" | Creates a "Confirm the booking" task |
| "Estimate" | Creates a "Send the estimate" task |
| "Ready" | Messages the customer "Your car is ready, you can pick it up" and creates a task for the mechanic |
| 180 days after the visit | Invites the customer for a service |
Robots that message customers come switched off: you choose a line and a WhatsApp template and switch them on yourself. Learn more in the documentation on ready-made niche robots.
What does the car service owner see?
The Home page shows new leads, cars in progress, revenue for the month and lead-to-payment conversion in a minute. "Analytics" has mechanic workload, lead sources and loss reasons: you can see where customers come from and why they leave after getting an estimate. Permissions are set by role: a mechanic sees only their own deals, while an administrator sees everything.
How much does a CRM for a car service cost?
The price is final, with no extra charges for onboarding. The first 7 days of the CRM are free.
